Prerequisites and Important Notices
Before beginning the email integration process, please review these critical requirements:
1. Email Archiving Requirement
- CRITICAL: Archive all existing emails from your inbox before connecting your mailbox to Zowie
- Failing to empty your inbox will result in all historical emails being uploaded to Zowie and treated as new
- For Microsoft Outlook in browser: Use Microsoft's archiving instructions
- For other email providers: Move existing emails to a folder other than the inbox
- Confirm with your Customer Success Manager that your inbox has been emptied before proceeding
2. Security and Compliance Requirements
- Verify with your IT department that connecting your mailbox to a third-party service is allowed by your company's security policies
- Ensure you have appropriate administrative permissions to establish the connection
- For business email accounts, you may need approval from your system administrator
3. System Requirements
- You must be a Zowie Inbox customer to use email automation capabilities
- Support for other platforms (Zendesk, Dixa, Salesforce) is coming soon
- A stable internet connection is required during the setup process
4. Required Information
- Email address and password (or ability to authenticate via OAuth)
- For manual configuration: IMAP/SMTP server details from your email provider
- Queue information for routing unautomated emails
Accessing the Email Configuration Settings in Zowie Inbox
To begin setting up email automation in Zowie:
- Navigate to Inbox > Settings > Mailboxes
- Click the + Add mailbox button to start connecting a new email account
Methods for Connecting Email Mailboxes
Zowie currently offers two primary methods for connecting email mailboxes:
1. Microsoft OAuth Integration
For Microsoft Outlook/Exchange accounts:
- Select Sign in with Microsoft in the connection tab
- Follow the Microsoft authentication prompts
- Grant the necessary permissions for Zowie to access your mailbox
2) Manual Configuration
For other email providers or advanced setup:
- Select Sign in with credentials and custom config
- Complete the required fields for your email provider:
- IMAP server and port
- SMTP server and port
- Email address
- Password or app-specific password
- Security settings (SSL/TLS)
Required Credentials and Permissions
To successfully connect an email mailbox to Zowie, you'll need:
- Email address: The address that will be connected to Zowie
- Authentication credentials: Password or OAuth access
- Server information: For manual configuration, you'll need your email provider's server details
- Administrative permissions: Ensure you have proper access rights to connect the mailbox
Important Security Note: Before connecting, verify with your IT department that connecting your mailbox to a third-party service is allowed by your company's security policies.
Verification and Testing Process for New Mailbox Connections
After configuring your mailbox connection:
- Initial Connection Test: Zowie automatically verifies the connection can be established
- Inbox Synchronization: The system will begin syncing recent emails
- Verification Email: Send a test email to the connected address
- Check Zowie Inbox: Verify the test email appears in your Zowie Inbox
- AI Agent Test: If using AI Agent, verify that the automated response is generated
Supporting Multiple Email Addresses/Mailboxes
Zowie supports connecting multiple email mailboxes to your account:
- Each mailbox can be configured with different settings:
- Different AI Agents can be assigned to different mailboxes
- Routing rules can be customized per mailbox
- Queue assignments can vary between mailboxes
- To add additional mailboxes:
- Navigate to Inbox > Settings > Mailboxes
- Click + Add mailbox
- Follow the same configuration process for each mailbox
Important: Before connecting active mailboxes, ensure you've archived existing emails from your inbox. Otherwise, all historical emails will be uploaded to Zowie and processed as new.
